Enterprise ERP Unification for a Multi-Facility Health System

CYVERRA consolidated fragmented clinical supply chain, financial management, and workforce systems into a unified enterprise ERP architecture across 14 hospital sites. The deployment established real-time inventory visibility, automated regulatory audit trails, and streamlined multi-site operational reporting.

The Challenge

The healthcare provider operated across 14 acute, specialist, and outpatient facilities, relying on a patchwork of disconnected legacy ERP instances, standalone procurement databases, and manual spreadsheets. This fragmentation caused significant operational blind spots, including discrepancies in consignment stock accounting, unpredictable supply chain delays for critical surgical consumables, and delayed vendor reconciliations across regional cost centres. Clinical and administrative personnel spent disproportionate hours manually cross-referencing purchase orders against Electronic Health Record (EHR) usage data to ensure regulatory compliance with medical device tracking standards. The absence of centralised real-time data made accurate demand forecasting impossible, resulting in recurrent overstocking of expiring pharmaceuticals in some facilities while neighboring sites experienced supply shortages. Financial month-end closing procedures required two weeks of manual ledger consolidations across disparate entities. The organisation required a modern, highly secure enterprise ERP platform capable of unifying multi-entity accounting, automated clinical supply replenishment, and strict compliance with medical device traceability regulations.

Our Approach

CYVERRA designed and executed a multi-phase ERP modernization programme tailored to healthcare operational demands. We architected a centralised ERP core built on Microsoft Dynamics 365 Finance and Supply Chain Management, integrating secure HL7 and FHIR interface layers to maintain bidirectional synchronization with existing EHR platforms and point-of-care dispensing units. To address critical supply chain vulnerabilities, CYVERRA implemented an automated, demand-driven material management module featuring barcode and RFID lot-tracking for clinical inventory. Automated requisition workflows were configured to route approvals dynamically based on cost-centre thresholds, departmental budgets, and vendor contract terms, reducing procurement administrative overhead. Data migration pipelines were constructed with automated validation scripts to clean and normalise multi-year master data sets from six legacy platforms. Cybersecurity and governance were embedded natively, implementing granular role-based access control (RBAC), end-to-end data encryption in transit and at rest, and automated audit logging aligned with healthcare privacy mandates.

The Outcome

The unified ERP platform went live across all 14 facilities with zero disruption to active clinical workflows. Operating on a consolidated data foundation, the healthcare network achieved immediate transparency across inventory holdings, eliminating redundant departmental stock buffers and cutting urgent courier freight expenses by more than half. Financial operations were substantially accelerated, shrinking the monthly financial close timeline from 14 days to 4 days. Automated medical device lot tracking resolved compliance gaps, allowing instant traceability for batch recalls and internal clinical audits while liberating administrative and nursing hours back to patient care initiatives.
