The Challenge
A distributed network of higher education institutions operated with divergent, legacy IT systems across six European campuses. Core academic administration, course registration, student welfare services, and financial clearance relied on isolated regional applications and heavily manual paper-based processes. This fragmentation created significant friction for students and faculty alike. Enrollment cycles suffered from administrative bottlenecks, multi-week document validation delays, and high drop-off rates during registration windows. Disconnected data sources also prevented leadership from gaining unified visibility into learner retention and academic progression trends across partner institutions.
Our Approach
CYVERRA designed and implemented an event-driven, microservices-based digital services platform integrated directly with existing student information systems (SIS) and learning management platforms. The architecture established a single pan-campus identity framework, secure digital credential verification pipelines, and an omnichannel self-service portal accessible via web and mobile. To ensure institutional continuity, the delivery team utilised an incremental migration roadmap. Automated workflow engines were deployed to orchestrate document validation, module selection, and fee reconciliation. Role-based integration layers secured learner data compliance with GDPR while enabling real-time analytics for faculty advisors and student support teams.
The Outcome
The modernised digital architecture consolidated eight disparate regional systems into a cohesive, cloud-native operational ecosystem. Automated onboarding pipelines reduced student registration turnarounds from weeks to hours, while centralising administrative oversight and eliminating redundant manual entry. Learner engagement increased substantially through proactive digital communications and streamlined self-service access to academic records. Institutional operating costs decreased, enabling administrative teams to redirect capacity toward proactive academic advisory and student welfare initiatives.
