Digital Campus Modernisation for a Vocational Education Group
CYVERRA unified a fragmented network of legacy student records, learning management, and admissions tools into an integrated digital campus platform. The transformation reduced onboarding processing times and automated multi-institution credit evaluations.

The Challenge
The institution operated across 14 regional campuses serving over 45,000 active learners, but its core operations were constrained by siloed legacy software. Each regional division maintained disparate instances of student record databases, manual spreadsheet-based enrolment workflows, and disconnected tuition billing systems. This decentralised footprint caused widespread operational latency, resulting in multi-week delays during peak intake periods and inconsistent student record validation across departments. Prospective students faced fragmented onboarding experiences, requiring repetitive paper-based identity checks, manual qualification verifications, and disconnected credit transfer approvals. The administrative burden on faculty and admissions teams led to high processing backlogs and increased applicant drop-off rates, while institutional leadership lacked real-time visibility into cross-campus enrolment metrics, course utilisation, and compliance reporting.
Our Approach
CYVERRA designed and executed a multi-phase digital transformation programme centred on an event-driven integration architecture and a consolidated digital campus portal. We implemented an API-first integration layer using Azure Integration Services to securely bridge legacy core records with a unified cloud-native student information engine, ensuring zero data loss and continuous synchronisation during migration. Our engineering team deployed a centralised, role-based portal built on React and Node.js that integrated student onboarding, course scheduling, fee administration, and academic tracking into a single interface. Automated workflows were engineered for credential validation and credit recognition, integrating secure identity federation via Auth0 with automated rules engines to process incoming applications in real time. We introduced infrastructure-as-code using Terraform to standardise environment provisioning and establish enterprise-grade security controls.
The Outcome
The modernised digital campus ecosystem streamlined administrative touchpoints across all 14 campuses within eight months of initial deployment. Automated application processing reduced end-to-end enrolment cycle times by 64%, enabling the admissions team to clear intake queues within hours rather than weeks during seasonal enrolment surges. Faculty and staff experienced a 42% reduction in repetitive administrative tasks through automated credit transfers, centralised record access, and integrated attendance logging. Real-time data aggregation across the unified platform provided executive leadership with consolidated reporting on operational capacity, financial reconciliation, and learner engagement, delivering institutional resilience and scalable operational capacity.
